Asking a family for money they owe is one of the least loved parts of teaching. You may see that student every week. You may know the parent well, or know that things are hard at home. A blunt demand can damage a relationship that took years to build. Saying nothing can leave you short of money you have earned.
We designed Soniq Studio’s payment follow-up to sit between those two. It does the routine reminding for you, it starts by assuming the best, and it leaves the difficult conversations with the person who knows the family: you.
Most late payments are honest mistakes
Most invoices that go unpaid are simply missed. An email lands in the wrong folder. A parent means to pay on payday and forgets. A first reminder is often all it takes.
So the first reminder is friendly. It assumes the invoice slipped through, includes a link to pay, and thanks the family if they have already paid. We would rather send a warm nudge to someone who forgot than a stern one to someone who meant well.
Reminders that grow firmer, slowly
On the Professional plan, invoice auto-reminders follow up for you. If an invoice stays open after its due date, Soniq Studio sends up to three reminders:
- 3 days late: a friendly reminder that assumes the invoice got missed.
- 14 days late: a polite second reminder that says how long the invoice has been overdue.
- 30 days late: a final automated reminder. It says clearly that no more automatic reminders will follow.
The tone moves step by step, so nobody goes from “just a quick nudge” to “final notice” overnight. A family who pays at any point stops the reminders straight away. So does marking the invoice as paid with Mark as Paid, or cancelling it with Cancel invoice. Soniq Studio does not add late fees or interest.
Your name, your voice, your inbox
Each reminder goes out on your behalf. It carries your studio’s name, and a family’s reply comes straight to you. The second and final reminders ask the family to reply if something is wrong. A parent who is struggling can tell you, privately, instead of ignoring an automated email.
You also get a copy of every reminder that goes out. Each one appears in the invoice’s activity too, as Friendly reminder sent, Formal second reminder sent or Final automated notice sent, personal follow up needed. You always know what a family has received before you speak to them.
Where the automation stops
After the third reminder, Soniq Studio stops. We think that is the right place for software to step back. By then, something more than forgetfulness is usually going on, and the next step needs a person.
What that step looks like is your choice. You might have a quiet word at the next lesson, agree a payment plan, or cancel the invoice. Every teacher handles this differently, and every family’s situation is different. For practical steps, see How to handle a failed or missed payment.
When a Direct Debit payment fails
A failed Direct Debit payment is a different situation. It does not mean the family has decided not to pay. The money may simply not have been in the account on the collection day.
When a Direct Debit payment fails, GoCardless may try again automatically. During that time, the invoice’s activity shows Direct Debit payment failed — GoCardless will retry. We word it this way so you are not alarmed by a problem that usually sorts itself out.
We only email you when GoCardless stops trying. At that point the invoice is open again, and the family can pay it from their payment page, or you can arrange payment another way. If a family’s Direct Debit stops working altogether, we tell you that too. They are asked to set up a new Direct Debit when they next open an invoice. The full list of statuses is in Payment and mandate statuses.
What we have not built yet
Today, the reminders run the same way for every overdue invoice. We plan to let you pause the reminders on a single invoice, for example when you have agreed a later date with a family. Until then, you can stop them by marking the invoice as paid or cancelling it.
Why this matters to us
Your relationships with families are the heart of your practice. They bring students back each term and new students through recommendation. We want Soniq Studio to protect that, so you can be paid on time without becoming the person who chases. For more on how billing works overall, see How the billing model works, and why.
